Job Description

Our client, a growth-oriented investment group, is seeking a highly organized, proactive, and professional Executive Assistant (EA) to support three of their directors. This is a critical role that requires strong attention to detail, discretion, and the ability to manage a wide range of administrative responsibilities in a fast-paced, high-performance environment. The ideal candidate will be a problem-solver who thrives in a fast-paced environment and can anticipate the needs of executives to ensure seamless day-to-day operations.

**Please note this is a hybrid, temp-to-perm role located in the Presidio of San Francisco, CA. Pay will be $120k/yr + Bonus.**

Key Responsibilities

  • Provide comprehensive administrative support to three Directors, managing competing priorities with efficiency and discretion
  • Maintain and coordinate complex calendars, scheduling internal and external meetings, calls, and events across multiple time zones
  • Arrange domestic and international travel, including flights, accommodations, and detailed itineraries
  • Prepare and process expense reports, reimbursements, and related administrative documentation
  • Draft and proofread professional correspondence and meeting materials as needed
  • Track follow-ups, project timelines, and deliverables to ensure nothing falls through the cracks
  • Liaise professionally with internal stakeholders, portfolio company executives, investors, and external partners
  • Handle sensitive and confidential information with integrity and judgment
  • Assist with occasional team coordination tasks, including meeting logistics and offsite events

Qualifications

  • 5+ years of experience in an Executive Assistant, Personal Assistant, or senior administrative support role (experience in finance, investment, or professional services strongly preferred)
  • Proven ability to support multiple senior executives simultaneously
  • Exceptional organizational and time management skills
  • Strong written and verbal communication; polished and professional presence
  • Tech-savvy and highly proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint); familiarity with collaboration tools (e.g., Zoom, Slack, DocuSign)
  • Discreet, trustworthy, and comfortable working with sensitive information
  • Proactive problem-solver with a calm, can-do attitude
